  • Respond to enquiries, prayer requests, and counselling requests.
  • Coordinate church communication, ministry activities, and pastoral follow-up (including phone, email, or WhatsApp where you have provided contact details).
  • Match volunteer interest to the appropriate ministry team.
  • Improve our website content, experience, and security.
  • Meet legal, regulatory, or safeguarding obligations where required.

Follow-up: When you submit a form, we may contact you about your request, invite you to church activities, or connect you with a ministry leader. This is based on your consent when you submit the form and/or our legitimate interest in caring for our church community. You may ask us to stop contact at any time.

5. Sensitive Information and Confidentiality

Some information you submit (especially through counselling or pastoral care forms) may be sensitive. We treat this information with a high level of confidentiality and limit access to authorised pastoral or counselling team members on a need-to-know basis.

Request for Counselling forms are confidential and only shared with designated counsellors, except where disclosure is required by law or safeguarding duty.

6. Legal Basis for Processing

We process personal data on one or more of these lawful bases:

  • Your consent (for example, when you submit a form voluntarily).
  • Legitimate interests (to administer and care for our church community).
  • Legal obligations (such as compliance with applicable law and safeguarding requirements).

7. Data Sharing and Processors

We do not sell your personal data. We may share data with trusted service providers that help us run church operations (for example website, form, communication, or hosting providers), and only for approved purposes.

Our website may include links or embeds from third-party platforms (for example YouTube, Tally, Google Maps, and social media). These services have their own privacy practices, and we encourage you to read their privacy policies.

  • Form provider (Tally) — form hosting and submission delivery.
  • Email and communication tools used by church staff.
  • Website hosting and technical support providers.
  • Authorised pastors, ministry leaders, counsellors, or administrators (on a need-to-know basis).

Some service providers may store or process data outside Nigeria (for example in the European Union or United States). Where this occurs, we take reasonable steps to ensure appropriate safeguards are in place as required by applicable law, and we only share what is necessary for the stated purpose.

We apply reasonable technical and organisational safeguards to protect your personal data from unauthorised access, misuse, loss, or disclosure.

10. Data Retention

We keep personal data only as long as needed for the purposes above. Indicative periods:

  • General enquiries and contact forms: up to 24 months, unless a longer period is needed for ongoing pastoral care.
  • Prayer requests: up to 12 months, unless you ask us to retain or delete sooner.
  • Ministry / volunteer sign-up: for the duration of active service plus up to 24 months after you leave the role.
  • Counselling requests: retained only by designated counsellors; typically up to 7 years where ongoing pastoral records are required, or sooner if deleted after the matter is closed (subject to safeguarding and legal duties).
  • Website technical logs: as required by our host or security tools, usually a short period.

When data is no longer required, we delete it or anonymise it securely.

11. How We Handle Form Data Internally

To protect you and the church, we apply these practices:

  • Form submissions are directed to authorised church staff or ministry leaders — not public inboxes where possible.
  • Counselling forms are limited to designated counsellors and senior pastoral oversight.
  • Staff and volunteers must not share personal data on personal devices or group chats without permission.
  • Access is removed when a leader or volunteer leaves their role.

12. Cookies and Similar Technologies

Our website may use essential cookies for basic operation. Embedded content (such as maps or videos) may set cookies or collect usage data under the third party’s policy. Where we use optional analytics in future, we will update this policy and request consent where required.
